The Background

An international motorsport organisation contacted KC Group Shipping for our assistance in the planning and logistics of moving specialised equipment from Scotland to Saudi Arabia for a multi-national, Ministry of Sport sponsored race event in February 2024. After initial discussions, the project seemed like a routine task of sending three 40’High Cube (HC) containers to Jeddah. However, the task quickly escalated into a complex challenge with the unforeseen cancellation of shipping services to the Red Sea, following targeted attacks on international vessels.

Our experience and processes mean we are agile to react quickly to circumstances like these and we immediately planned for a new solution for our client.

The Challenge

Our initial plan involved positioning three containers in Scotland using a hi-ab vehicle, meticulously loading them with the client’s specialised equipment, and safely transporting them from Grangemouth port to Jeddah via Rotterdam. However, with the sudden suspension of major shipping services through the Suez Canal to the Red Sea ports, we faced a new challenge that required reactive planning and experience, working to the race event date. At the time, the only available option into Saudi Arabia by sea was to move the containers to Singapore and then back to Dammam, which was an approximate 70-day transit time and impractical due to the event deadline.

However, working with the client and utilising the collective knowledge and experience throughout our divisions, we kept everything on track with a new solution and plan.

The Solution

After exhausting all sea freight avenues, we turned our attention towards airfreight, albeit with trepidation due to the extensive size of the cargo, more than 2.3 meters, and the need for significant reworking, including unloading and re-crating. Drawing on our team's collective experience and problem-solving approach and working closely with our trusted partners in The Netherlands to devise a viable solution, we rescheduled and moved less urgent consignment bookings to facilitate the cargo through a Saudi national carrier, the preferred event airline. Ultimately, the client advised and agreed that only the contents of one container were immediately necessary. We collectively decided to securely store the rest of the cargo in our bonded warehouse for future deployment, and we positioned a team in Rotterdam to move quickly to get the containers moved off the quay, under Customs control and unpacked into the bonded warehouse.

Our team worked tirelessly, through the night, to meticulously repack the cargo, with some of the larger pieces coming in at around 6 metres long and almost 3 metres high. We ensured everything met stringent aircraft specifications, and the goods were secured and cased.

We simply had no time to spare due to the challenges and complexities of the cargo, and just hours before the cut-off, a specialist vehicle delivered the cargo to the airline for onward transit. Simultaneously, we facilitated arrangements with our partners in Saudi Arabia to ensure seamless customs clearance and for the ground transportation team to be on hand upon the cargo's arrival at Jeddah Airport. Commitment like this sets the KC team apart, as we continually demonstrate our dedication to client solutions, driving a connected, partnership approach across all project stakeholders.

The Results

Despite the obstacles and time-critical elements, the cargo arrived safely in Jeddah. Due to our forward-thinking planning, swift customs clearance processes, tracking and reporting procedures, and open and transparent communications, the equipment arrived at the race site on time. The event itself was nothing short of a resounding success, captivating a global audience of motorsport enthusiasts. Witnessing the event unfold, everyone at KC Group Shipping took immense pride in our contribution, however small, to getting to the finish line. Meanwhile, the remaining goods housed in our bonded warehouse stand ready for future deployment, with hopes we can leverage the Red Sea route for the forthcoming event.
